A little about us:

Founded in 2008, and run entirely by volunteers, Young People in the Arts (YPIA) is a national networking and professional development organisation for professionals at the outset of their careers in the arts & culture sector. We run a regular programme of events including talks, debates, workshops and networking, connecting you with your peers as well as leading industry professionals from every corner of the arts & culture sector.

Our Vision is that every early-career arts professional has the practical support they need to thrive in the arts & culture sector.

Our Mission is that we exist to inspire, connect, and support young people in the arts, in order to build a more successful, sustainable and resilient sector.

The 2022/2023 YPIA season will offer a mixture of online and in-person events - this is where you come in!

We are looking for enthusiastic committee members from across the arts & culture sector, who are keen to dedicate some of their time and creativity to organising events for YPIA, and growing our cultural network, whilst developing valuable experience and learning new skills.

Role descriptions:

* Project Manager *

Reports to: Director of Planning

  • Support the planning and delivery of our season of events in 2022-2023
  • Submit event ideas to the Director of Planning in advance of committee meetings
  • Lead on the organisation of an agreed number of events as part of the 2022-2023 season (normally 2 to 3 events), managing a team of Assistant Project Managers
  • Design event plans by researching and exploring options for speakers, venues and themes
  • For online events, lead on the setup of the event platform (typically Zoom) and work with Marketing Managers to ensure details are communicated to bookers
  • For in person events, liaise with venues which are typically prominent cultural locations in central London
  • Lead on approaching speakers for events, ensuring a balanced and diverse panel
  • Work in close collaboration with Marketing Managers and Assistant Marketing Managers on the promotion of events
  • Assist event chairs with shaping topics and questions
  • Manage the guest list for events, including YPIA committee RSVPs
  • Lead on the delivery of events on the night, assigning roles as appropriate
  • Attend YPIA events throughout the season

* Assistant Project Manager *

Reports to: Project Managers + Director of Planning

  • Assist with the planning and delivery of our season of events in 2022-2023
  • Submit event ideas to the Director of Planning in advance of committee meetings
  • Support with the design of event plans by researching and exploring options for speakers, venues and themes as directed by Project Managers
  • Approach and liaise with speakers for events in collaboration with Project Managers
  • Assist with venue research and liaison for in person events, or technical set up for online events
  • Prepare handouts for events
  • Research and book areas for post-event networking drinks for in person events
  • Support delivery on the night of the event, including monitoring the guestlist, providing technical support and potentially some public speaking
  • Attend YPIA events throughout the season

* Marketing Manager *

Reports to: Director of Strategy & Communications

  • Lead on the promotion of 2 to 3 events across the 2022-2023 season, managing a team of Assistant Marketing Managers
  • Develop clear and compelling copy for distribution through our website and newsletter
  • Maintain social media presence across Facebook, Twitter, Instagram and LinkedIn
  • Keep the YPIA website up to date
  • Curate content for the YPIA Blog
  • Assist with the creation and promotion of the YPIA Podcast
  • Maintain marketing contacts and identify reciprocal marketing opportunities
  • Help shape our marketing strategy
  • Attend YPIA events throughout the season, capturing images for promotional use
  • You’ll use: Website CMS; Canva; Mailchimp; SurveyMonkey; Anchor; Zoom; Whatsapp; Google Workspace; and all major social media platforms

* Assistant Marketing Manager *

Reports to: Marketing Managers + Director of Strategy & Communications

  • Contribute and implement marketing strategy for 2 to 3 events across the 2022-2023 season
  • Develop clear and compelling copy for distribution through our website and newsletter
  • Maintain social media presence across Facebook, Twitter, Instagram and LinkedIn
  • Keep the YPIA website up to date
  • Share access details with attendees ahead of events and field queries
  • Produce guestlists for the event team, keeping an eye on last-minute sign-ups
  • Share event-related resources, recordings and surveys with attendees post-event
  • Assist with the promotion of the YPIA Blog and YPIA Podcast
  • Help implement our marketing strategy
  • Attend YPIA events throughout the season, capturing images for promotional use
  • You’ll use: Website CMS; Canva; Mailchimp; SurveyMonkey; Anchor; Zoom; Whatsapp; Google Workspace; and all major social media platforms

* Regional Marketing Manager *

Reports to: Director of Regional Development and Marketing

  • Lead on the promotion of 2 to 3 events across the 2022-2023 season, in your region
  • Develop clear and compelling copy for distribution through our website and newsletter
  • Maintain social media presence across Facebook, Twitter, Instagram and LinkedIn
  • Keep the YPIA website up to date with regional events
  • Curate content for the YPIA Blog, relevant to regional audiences
  • Assist with the creation and promotion of the YPIA Podcast
  • Maintain regional marketing contacts and identify reciprocal marketing opportunities
  • Help shape our marketing strategy, from a regional perspective
  • Attend YPIA events throughout the season, capturing images for promotional use
  • You’ll use: Website CMS; Canva; Mailchimp; SurveyMonkey; Anchor; Zoom; Whatsapp; Google Workspace; and all major social media platforms

* Regional Ambassador *

Reports to: Director of Regional Development and Marketing

Main responsibilities:

  • Event planning
  • Networking within the region
  • Marketing YPIA and it’s events

Further Responsibilities:

  • Supporting the planning and delivery of our season of events for the 2022-2023 season
  • Submitting event proposals to the Directors
  • Designing event plans by researching and exploring options for venues and themes and speakers if necessary.
  • Liaising with venues (for in-person events), which can be prominent cultural locations and bars in your region.
  • Recruiting and liaising with any speakers, who are often renowned cultural and creative professionals in the UK.
  • For online events, lead on the setup of the event platform (typically Zoom) and work with the Marketing Team to ensure details are communicated to bookers.
  • Creating and utilising networks in your city/region to promote your event.
  • Running the delivery on the night of the event, including registering guests, setting up rooms and audio, organising handouts, and public speaking as required.
  • Write and collate regional specific copy for our regional newsletters.
  • Write or commission copy for the YPIA Blog.

Practical details:

The amount of time you spend on YPIA depends on how much time you’re willing and able to give, though we ask that each committee member works on 2 to 3 events per season. This means the amount of time you spend on YPIA will vary month by month, offering balance around your other commitments. The majority of the committee volunteer alongside full-time jobs, so we appreciate the need for flexibility. All YPIA administration is carried out remotely, using personal devices. We believe it’s really valuable to have the opportunity to meet our YPIA colleagues and members in person, so we encourage everyone to attend as many in-person events as possible. If you are responsible for organising an in-person YPIA event, you will be expected to manage the event on the night, but there will always be a YPIA Director on hand.

Full committee meetings take place approximately three times per year, and are held over Zoom on weekdays, typically between 18:30 and 20:00.
